E-mail facilities: e-mail addresses are available on board for the science team. The chief scientist will take care of the distribution of the e-mail addresses in good consultation with the captain after boarding the ship. If you wish to make private phone calls you have to pay to the captain at the end of your cruise. The captain will keep record of the communication time used per person. Payments are in cash in Euros.

Personal Details Form

Personal Details Forms have to be filled out by all participants. The Chief Scientist collects the forms and provides them four weeks before the start of the cruise ( by e-mail to: mildred.jourdan@nioz.nl and erica.koning@nioz.nl ).

Customs List

The Chief Scientist has to provide documents for customs for all equipment and material taken on board. This customs list has to be send to SML ( Peter-Roy Alkema, e-mail: peterroy.alkema@nioz.nl ) at least two week before the goods will be brought on board.

Containers that arrive back on Texel on the ship or are transported back from a port of call, need to be accompanied by an updated customs list when the contents of the container differs from the content originally listed on the customs list for export. The updated customs list should be sent (e-mail or via ship's fax) to SML as soon as the ship is in port. This is extremely important! Even small extras such as packed-in souvenirs can bring NIOZ on the Customs Black List!!!

Travel

The Chief Scientist coordinates all travel arrangements.

Passport & Visa

A valid passport and, if applicable, a visa for the Netherlands ( see Personal Details Form ) is needed to embark on the ship. Check with the Chief Scientist if visa are needed for the harbours of the port-calls.

Vaccination

In case vaccinations are mandatory or recommended the information will be provided by the Chief Scientist.

Embarkation/disembarkation

It is customary for participants to be in the port of embarkation on the evening before the day of embarkation. Depending on the time of arrival in port, disembarking participants will travel on the day the ship arrives or on the next day. The Chief Scientist coordinates embarkation and disembarkation. Before leaving the ship disembarking participants have to wait for the immigration service to come on board.

Hotels/transfers

The Chief Scientist will have information on hotels and transfers.

Safety and Security regulations

Safety and security on board are paramount, and everyone has to get fully acquainted with the Safety and Security regulations. On board, a safety instruction and training will take place at the beginning of each cruise. All participants have to take part in this safety training. Failure to obey the regulations can result in being expelled from the ship.

Accommodation and personal hygiene

All cabins have their own private toilet (with toilet paper) and shower. Under special permission from the Dutch Shipping Inspection a number of cabins may have double occupation for designated cruises. During the cruise and before disembarkation, participants have to clean their own cabin and bathroom facilities. Clean sheets and towels are provided by the ship every week. Bring your own toiletries, toilet soap, medication, vitamins, sun screen, etc. For washing of personal clothing a washing machine, dryer and washing powder is provided.

Food and drink

Meals: the main meal is served during lunchtime. Breakfast will be Dutch standard. In the evening a hot snack will be served with the meal. Any person(s) with special dietary requirements please inform NIOZ in advance via the Personal Details Form.

The tap water on the ship is safe for drinking. The ship provides tea, coffee, mineral water, soft drinks, fruit juice etc. You will only be charged for alcoholic beverages consumed in the ship's bar.  These will be recorded and charged separately at the end of the cruise. All payments for the bar and for souvenirs will be made directly to the captain in cash in Euros.

Smoking

Smoking is prohibited on the ship. The captain may, in close consultation with the chief scientist and the crew and if safety allows, appoint certain designated smoking areas on deck and in the accommodation at the start of every cruise.

Substance abuse

There is zero tolerance for drug abuse.

Sexual harassment

In case of sexual harassment the chief scientist and the captain are the contact persons and confidential mediators.

“Provoking/obnoxious” behaviour

Different people have different moral standards: therefore avoid any behaviour that may be interpreted as provoking/obnoxious by others.

Safety boots/safety helmets

You must wear safety boots and helmets when on deck. You need to bring your own safety boots as these are not provided by the ship. Helmets will be available on board. Please do not take this helmet with you as a souvenir; leave it on board.

PC on board

RV PELAGIA's on board computer network consists of a Unix workstation as a server with several computers. Three PC's are available for general use by the scientific participants: two are in the meeting room, and the third in the CTD/measuring room. There is one PC in the chief scientist's cabin for the chief scientist. Participants can bring their own PC onboard, but you need to bring matching hard- and software including network cables when you want to connect to the network. Connection ports for the network are available in the labs, meeting room and all cabins. When in doubt please contact computer group ( IPC, e-mail: beheer@nioz.nl )

On the ship's PC's Office 2003 (Word, Excel, Access and PowerPoint), CorelDraw 9, Nero Burning Rom and Pegasus E-mail are installed. Programmes like Grapher, WordPerfect and Adobe Illustrator are not installed. You can bring this software yourself for use on your own PC, but it is not allowed to install any software on the ship's computers.

Overhead projector/Copier

A Xerox machine, overhead projector and beamer are available in the meeting room.

Shipping Agency

Check with the Chief Scientist for the shipping agency in the ports of call.
